Terms and Conditions

Welcome to Tripogram Pvt. Ltd.! By booking with us, you agree to the following Terms and Conditions, which outline the rights and obligations of both Tripogram Pvt. Ltd. (referred to as “we,” “us,” or “our”) and you, the client (referred to as “you” or “your”). Please read these terms carefully before making a booking, as they form the basis of your contract with us.

1. Booking and Payment

A contract between you and Tripogram Pvt. Ltd. is established once we confirm your chosen travel package or service and receive your completed booking form along with the required deposit. The booking form must be fully and accurately filled out and signed to confirm your acceptance of these Terms and Conditions.

  • Deposit: A non-refundable deposit of 40% of the total package cost per person is required at the time of booking to secure your reservation.
  • Balance Payment: The remaining balance must be paid at least 15 days prior to your departure date. For bookings made within 15 days of departure, full payment is required at the time of booking.
  • Payment Methods: Payments must be made in favor of Tripogram Pvt. Ltd. via bank transfer, credit/debit card, or other methods specified at the time of booking.

2. Cancellation Policy

Cancellations must be submitted in writing to Tripogram Pvt. Ltd. via email or registered mail. Cancellation charges will apply based on the date we receive your written notice, as follows:

  • 30 days or more before departure: Loss of deposit (40% of total cost).
  • 29 to 15 days before departure: 60% of total cost.
  • 14 days or less before departure: 100% of total cost (no refund).

No refunds will be issued for cancellations after the trip has commenced or for unused portions of the travel package, unless otherwise agreed by us in writing. Refunds, if applicable, will be processed within 30 working days from the cancellation date, subject to supplier terms.

3. Changes by You

If you wish to modify your booking (e.g., change dates or destinations), please notify us in writing as soon as possible. We will do our best to accommodate your request, subject to availability and supplier policies. Any additional costs incurred due to changes, including administrative fees of INR 1,000 per person, will be borne by you.

4. Changes or Cancellations by Us

We strive to deliver your travel arrangements as confirmed. However, due to unforeseen circumstances (e.g., supplier changes, weather conditions, or minimum group size not met), we reserve the right to alter itineraries, accommodations, or transportation. If a significant change occurs before departure, we will:

  • Offer you a comparable alternative, if available; or
  • Provide a full refund if no suitable alternative exists and the change exceeds 10% of the package cost.

We are not liable for minor changes or cancellations beyond our control, such as natural disasters, political instability, or supplier insolvency.

5. Pricing and Surcharges

All prices quoted are based on current tariffs, exchange rates, and supplier costs at the time of booking. Prices are subject to change due to factors beyond our control, including:

  • Increases in transportation costs (e.g., fuel surcharges).
  • Government-imposed taxes or fees.
  • Adverse currency exchange fluctuations.

We will absorb increases up to 2% of the package cost. For increases exceeding 2%, you will be notified and may either pay the additional amount or cancel with a full refund (if the increase exceeds 10% of the original cost), provided you notify us within 7 days of notification.

6. Travel Documents and Health Requirements

You are solely responsible for obtaining and maintaining valid travel documents, including passports, visas, and vaccination certificates, required for your trip. Tripogram Pvt. Ltd. is not liable for any consequences arising from your failure to comply with these requirements, including denial of entry or additional costs incurred.

7. Liability

Tripogram Pvt. Ltd. acts as an agent for hotels, airlines, transport providers, and other independent contractors. We are not liable for any loss, injury, damage, delay, or additional expenses caused by:

  • Acts or omissions of third-party suppliers.
  • Unforeseeable events such as natural disasters, strikes, wars, pandemics, or technical issues with transportation.

Our liability is limited to the cost of services directly provided by us and does not extend to indirect or consequential damages.

8. Complaints

If you encounter any issues during your trip, please inform your tour manager or our local representative immediately so we can attempt to resolve the matter. If the issue remains unresolved, submit a written complaint to us within 21 days of your return, addressed to [insert email or postal address]. Failure to notify us within this period may affect our ability to investigate and resolve your complaint.

9. Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of India. Any disputes arising from your contract with Tripogram Pvt. Ltd. will be subject to the exclusive jurisdiction of courts in [insert city, e.g., New Delhi], India.
